Coach Terms

These terms are for coaches who use Actual's coach features. They sit on top of the Terms of Service and the Privacy Policy, which apply to you too. Where these say something more specific, these win.

What the coach features are

A coach account adds a clients page to Actual. Clients who choose to connect with you send you a weekly summary of how their planning went, and you can send them suggestions (blocks, to-dos and day plans) that they may add or pass on. Each client decides what goes into their summary, and can pause or stop sharing at any time.

Who it's for

The coach features are for coaching: helping people plan, follow through and build routines. Actual isn't designed for or offered as a health service. Please don't use it to record, ask for or keep health information about your clients, and don't present it to clients as part of any health care. If your work needs that, Actual isn't the right tool for it.

Your clients' trust

Only with their agreement. Invite people only with their knowledge, and never make sharing a condition they can't refuse. A client can say no, pause or stop, and Actual will always let them.
Keep it confidential. Treat what clients share with you as you would anything said in a session. Don't pass it on, sell it, or use it for anything but coaching that client.
Your own obligations. You're responsible for following the rules of your profession and the laws where you work, including any about keeping clients' information.
What you see. You see the summaries clients send and the name they choose to show. You never see a client's calendar itself, their notes, places, exact times or email address, and we won't give them to you.
When it ends. When a client stops sharing, or you remove them, their summaries and your notes about them are deleted from Actual. Keep any record you need for your practice yourself.

The coach plan

$19 a month covers your own Actual and up to 7 client places. Each place after that is $2 a month. You can add or remove places at any time.
Covered clients on one of your places get all of Actual at no cost to them while your plan is active and they're connected to you. A client who pays for Actual themselves doesn't use a place.
If your plan ends, or a client stops sharing, the client keeps everything they recorded. If their own trial is over, they have 14 days to choose a plan before their calendar becomes read-only.
The plan renews monthly until you cancel. Cancel at any time and it runs to the end of the month you've paid for. We'll tell you at least 30 days before a price change affects your renewal.
Payments on the web are handled by our payment partner, which acts as the seller and issues your receipt. Refunds follow our refund policy.

Founding coaches

Before the public launch, we're inviting a small group of coaches to be founding coaches: to try Actual with their clients and tell us what would make it more useful. If you accept the invitation:

Your own Actual is free for life, on the account with the email address you gave us. It stays yours even if you stop coaching on Actual, for as long as we offer Actual (see Lifetime in the Terms of Service).
The coach plan is free for your first 6 months, with its 7 client places. After that it's the normal $19 a month, and you can cancel instead. We'll remind you before the free months end.
Extra places beyond the first 7 are $2 a month each from the start; they aren't part of the free months.
Your clients are covered in the same way as any coach's clients, on your places while your plan is active. The founding offer doesn't give them anything beyond that.
As a tester, we'd value your honest feedback: what works, what doesn't, and what you'd want next. You're never obliged to give it. We may use what you tell us to improve Actual; we won't quote you by name without asking.
Things will change. Founding coaches see features early, and some may change or be removed.
The offer is personal to you and can't be transferred or resold. We may withdraw it from an account that breaks these terms, after telling you why.

Ending things

You can stop coaching on Actual at any time: cancel your plan and remove your clients, or ask us to close your coach account. We may pause or close a coach account that breaks these terms; when a coach account is paused or closed, its clients stop being covered and get the 14 days described above.

Changes to these terms

If we change these terms in a way that matters, we'll update the date at the top and tell you in the app or by email before the change takes effect.
